ADMINISTRATIVE ASSISTANT – PUBLIC WORKS & RECREATION
Full-Time Position – 35 Hours per Week – Unionized Position
Starting salary: $28.31/hr as per the current Collective Agreement.
The Municipality of Markstay-Warren is inviting applications for the full-time position of Administrative Assistant in the Public Works & Recreation Facilities. Reporting to the Manager of Public Works, the successful candidate will provide organized, responsive, and professional administrative support to the Public Works, Parks, Recreation, and Facilities departments.
This position plays a key role in supporting departmental operations through records management, work order administration, permit processing, purchasing and invoice tracking, asset management support, and customer service.
Key Responsibilities
- Provide administrative support to the Manager of Public Works and departmental staff, including correspondence, records management, scheduling, reports, and meeting materials.
- Maintain work order systems and operational records related to roads, drainage, winter maintenance, parks, facilities, fleet, equipment, inspections, and maintenance activities.
- Receive, track, process, and maintain records for driveway entrance permits and other Public Works applications.
- Respond to resident inquiries and service requests and coordinate follow-up with the appropriate staff.
- Assist with preparing purchase orders, reviewing invoices, tracking expenditures, obtaining quotes, and maintaining procurement records in accordance with municipal policies.
- Support the collection, organization, and maintenance of municipal asset information for roads, bridges, culverts, parks, facilities, fleet, and other infrastructure assets.
- Maintain departmental records related to health and safety, training, inspections, incident reporting, and regulatory compliance.
- Assist with recreation and facility administration, including maintenance requests, booking documentation, agreements, inspections, and project records.
- Support the preparation of departmental reports, budget information, grant applications, Council reports, Requests for Proposals (RFPs), and other special projects.
- Perform other related duties as assigned.
Qualifications
- Post-secondary education in office administration, business administration, public administration, or a related field, or an equivalent combination of education and experience.
- A minimum of two years of related administrative experience; municipal, public works, recreation, facilities, construction, or public-sector experience is considered an asset.
- Experience with records management, permits, work order systems, purchasing, invoice processing, and customer service.
- Strong proficiency with Microsoft 365, including Word, Outlook, Excel, Teams, and SharePoint, along with PDF and electronic records-management tools.
- Strong organizational, problem-solving, data-entry, and time-management skills with a high degree of accuracy and attention to detail.
- Excellent written and verbal communication skills and the ability to work effectively with staff, residents, contractors, and external agencies.
- Sound judgment, discretion, and the ability to manage confidential information while balancing competing priorities and deadlines.
- The ability to communicate in both French and English is considered a strong asset.
- A valid Class G driver’s license is considered an asset.
